From “do you have a table?” to a confirmed booking

Most bookings start as a message, a call or a form, and then someone has to copy the details across, check availability and reply. Booking intake does those steps for you: it collects the details, checks them against your rules and sends back a confirmation, or passes the booking to your team when it needs a decision.

What it does

  • Collects the booking details you need (date, time, party size, treatment or tour, name, contact, special requests) in the conversation.
  • Checks them against your rules: opening hours, minimum party size, deposit rules, cut-off times.
  • Records the booking where your team already looks. That can be your booking system if it allows a connection, or a shared calendar or sheet.
  • Sends the guest a confirmation, or a “we’ll confirm shortly” message when a person needs to approve it.

What it looks like

A restaurant on a Friday night.

Five WhatsApp table requests during service are collected, checked and confirmed, and only the large-group request waits for the manager.

A spa.

A guest asks for a couples massage on Thursday. The booking is taken with the treatment, time and names, and the confirmation goes out.

A boat tour operator in Croatia.

A WhatsApp enquiry for four people on Sunday becomes a booking request with names, pickup point and contact number, ready for the office to confirm.

Frequently asked questions

Will it double-book us?

It follows the availability rules and sources you give it. When it can't check availability, it collects the request and a person confirms it.

Can it take deposits?

Only if you already take deposits online and we can link to that payment step. Otherwise it records the booking and your team handles payment.

Which channels does it cover?

WhatsApp, your website forms and missed calls (with missed-call text-back). You choose which ones to start with.

Ready to stop losing bookings?

A short reply from a person, usually within a day.
